Enhancing Communications at Four Seasons

If elected to the Board, I will propose that the Board initiate a Communications Committee to plan and evaluate our internal and external communications. I will offer to develop the Charter in consultation with others.There is extensive internal communication by Management, Board Committees, and clubs through email and the Herald. There doesn’t appear to be much external communication. Four Seasons at Beaumont has a  large Communications Committee which includes their magazine's publisher, the same one as ours.

   

The Board does communicate every spending decision, and other matters, without much explanation, by considering and approving them, always unanimously, in monthly Open Board meetings and documenting them in Board minutes. Only 30 homeowners on average attend our Board meetings. Four Seasons at Murrieta “zooms” every Board meeting to increase their homeowners' knowledge and interest.  


No homeowner, other than a Director, knows what is discussed in the twice monthly Executive Sessions. That’s where the sausage appears to be made. Among other things, Directors communicate to the full Board in Executive Sessions what they hear and observe in the Committee meetings they attend.  According to several of our Directors, these reports are not included in the minutes. 

 

Small numbers of homeowners attend New Homeowner, Coffee with the Board, the Candidate Forum, and special subject-specific meetings. We don’t know how many residents pay attention to emails, mailings, posters, and signs. Considerable effort goes into the submission of content for the Herald by Committees and clubs. Our HOA doesn't have and doesn't want to have a written agreement with the publisher for it, because "we get it for free." The format rarely changes.

Our HOA does have a consumer-facing website. Googling Four Seasons at Hemet leads to https://www.fourseasonshemet.connectresident.com, providing some basic information about our community and, importantly, a link to our most recent Hemet Herald. Homeowners can create an account and log in to the site to find important documents.   


The two other local Four Seasons communities have websites. Beaumont’s, also managed by FirstService Residential, provides key community contact information, management staff (which we don't have on our site), various departments’ staff, and lodge attendants by name and position. Murrireta’s website provides very minimal information.   


An interesting model that might be worth a look is https://www.pelicancovecondo.com. Pelican Cove is a condominium community   in Sarasota, FL. The “About Us” link directs one to available properties for rent and for sale. It’s very easy for someone looking to rent or buy there to get very specific information about the property and the real estate company handling it. We have nothing like this to help our owners sell or rent their homes. 

It also has key staff contact information, governance information, by laws, and the current approved budget, The Rules We Live By, a reserve study, and more. This kind of information is not provided by our HOA until an individual buys a home, unless the seller has and shares it. We all know how important this information is, and a new owner may not appreciate it until moving in. Sharing it in advance may avoid buyer’s remorse.   


But why provide such information, you might ask? Our HOA will continue to receive a homeowner’s monthly maintenance fee until the home sells, regardless of how many homes are on the market or how long it takes to sell. If our HOA promotes our community by this and other means, we may be more attractive to a homeowner when it’s time to sell.   


In early February, according to https://www.55places.com, Four Seasons at  Murrietta had 524 homes, two homes, and .4% for sale; Four Seasons at Beaumont had 1,923 homes, 24 homes, and 1.24% for sale; and Four Seasons at Hemet had 1,106 homes, 16 homes, and 1.4% for sale. Numerous factors certainly go into the decision to buy a home. But Hemet has a slightly higher rate.
